Flexibility and employee empowerment are vital to creating productive and engaged workforces in today’s dynamic work environments. HR professionals and managers often face the challenge of managing and accommodating employees’ scheduling preferences and shift changes. This is where Horilla comes into play.

In this blog post, we will briefly introduce Horilla’s innovative Shift Management.

Shift Scheduling

A work shift refers to a specific period of time during which an individual is scheduled to work. A predetermined schedule determines when an employee starts and ends their workday. Horilla’s shift is flexible to manage night and day shifts, So let’s see how to create a day shift.
Go to Horilla settings in the right corner of the main navigation bar, then go to employee shift.

From here, you can create the template for the general shift.
Shift: Shift title
Weekly Full Time: Weekly minimum hours to work for an employee on that shift.
Full Time: Monthly minimum hours to work for an employee on that shift.
After creating the shift template, you can create a schedule for that shift. For that, go to Employee shift schedule right below the Employee shift tab.

After that, choose the days that you want to set the schedule, and enter the start and end times for the day shift.

Shift: The shift in which you want to add the schedule.
Days: The days on which you want to add the working hours for.
Minimum hour: A minimum hour to work on that day
Start time: The shift start time.
End Time: Shift end time.
Now you are all set. From now on, you can choose the shift on employee work information.
Note: if the start time is greater than the end time, it is considered a night shift for the scheduled day.
With the shift schedule, the attendance module will find late come and early out throughout the check-in checkout feature.

Shift Requests

A shift request is a feature within Horilla that allows employees to request changes to their scheduled shifts for a specific period. This feature enables employees to communicate their preferences and needs regarding their work schedules, providing them with a level of flexibility and control over their working hours.

The primary reason for implementing the shift request feature is to enhance employee satisfaction and improve work-life balance. It recognizes that employees have personal responsibilities and commitments outside of work, such as family obligations, educational pursuits, or personal appointments. By allowing them to request shifts that better align with their needs, Horilla empowers employees to manage their time more effectively and reduce potential conflicts between work and personal life.

With the shift request feature, employees can submit their requests through an intuitive and user-friendly interface. They can specify the desired shift, and provide a reason for the change. This information helps managers and HR professionals understand the employee’s situation and make informed decisions regarding the shift change request.

Additionally, the shift request feature streamlines shift management for managers and HR professionals. Centralizing all shift change requests within the Horilla platform simplifies the review and approval process, eliminating the need for manual paperwork or disjointed communication channels. It ensures that managers can assess requests based on operational requirements, employee availability, and fairness considerations, leading to more efficient scheduling decisions.

Moreover, the shift request feature promotes transparency and open communication between employees and managers. The built-in communication channels within Horilla enable direct interaction, allowing employees and managers to discuss and clarify shift change requests. This fosters a collaborative environment and ensures that all parties are on the same page, maintaining clear lines of communication throughout the scheduling process.

By offering the shift request feature, Horilla not only improves the employee experience but also streamlines shift management processes, enhances compliance, and fosters a culture of transparency and collaboration. It is a valuable tool for organizations looking to create a more flexible and employee-centric work environment while maintaining operational efficiency.

Rotating Shift

In addition to the Shift Request feature, Horilla also offers support for managing rotating shifts. Rotating shifts are a scheduling method where employees work different shifts on a cyclical basis, typically including day, evening, and night shifts. This approach ensures that all employees share the workload fairly and have a balanced distribution of working hours across different times of the day or week.

Horilla’s Rotating Shift feature allows organizations to create and manage rotating shift schedules effortlessly. Here’s how it works:

Creating Rotating Shift Schedules:

Within Horilla, managers and HR professionals can define rotating shift schedules based on their specific requirements. They can configure the duration of the rotation (e.g., after some days, weekly, monthly) and set the sequence of shifts to be followed.

Automatic Shift Assignment:

With the Rotating Shift feature, the software automatically assigns employees to different shifts within the rotation. This eliminates the need for manual scheduling and reduces the chances of errors or biases in shift assignments.

Horilla’s Shift Management revolutionizes how organizations handle employee scheduling and shift changes. It offers flexible scheduling, allowing employees to choose their preferred shifts for better work-life balance and satisfaction. Employees can also request shift changes, effectively managing their time. The system centralizes shift change requests for managers, making scheduling decisions more efficient and transparent. Overall, Horilla’s Shift Management empowers employees, improves operational efficiency, and creates a collaborative work environment.
