Managing and sharing CRM data efficiently is critical for reporting, audits, backups, and cross-team collaboration. Bulk Data Export in Horilla CRM provides a flexible and user-friendly way to export records from one or multiple modules in various formats.
With support for immediate exports and scheduled recurring exports, this feature ensures that critical CRM data is always available when needed manually or automatically.

Bulk Export allows users to:

Accessing Bulk Export Data

Bulk Export Data is available from the Settings section, under Data Management.

To access Bulk Export Data:

  1. Open Settings
  2. Navigate to Data Management
  3. Select Export Data

This opens the Export Data page, where all export-related actions are performed.

Selecting Modules for Export

One of the most practical aspects of Horilla’s export system is its support for multi-module selection. Rather than running separate exports for each module, users can select multiple modules at once and retrieve all the data in a single operation.

When a single module is selected, the data is exported directly as a standalone file in the chosen format. When multiple modules are selected, Horilla packages each module’s export into a separate file and delivers them together as a ZIP archive. This keeps data cleanly separated while still supporting bulk operations, making it easier to distribute or archive specific module data without mixing records.

Choosing Export Format

Horilla CRM supports three widely used formats to ensure compatibility with different tools and workflows:

Excel (.xlsx) is ideal for teams that need to analyze, filter, or manipulate data using spreadsheet tools. CSV is a lightweight, universally compatible format suitable for importing into other systems or databases. PDF is best suited for read-only reports that need to be shared or printed without risk of data modification.

Users simply select the desired format before triggering either an immediate export or a scheduled one.

Exporting Data Immediately

For situations where you need data right away — such as preparing a report for a meeting or generating a quick backup — Horilla CRM supports instant, on-demand exports.

To perform an immediate export, select one or more modules from the module selector, choose your preferred export format, and click the Export button. The file will download directly to your device. If multiple modules were selected, the download will be a ZIP file containing individual export files for each module.

Scheduling an Export

For teams that need data exported on a regular basis — such as weekly sales reports, monthly customer lists, or daily activity logs — Horilla CRM’s scheduling system eliminates the need for manual exports entirely.

To set up a scheduled export, select your modules and format as you normally would, but click the Schedule button instead of Export. This opens a configuration panel where you define how often the export should run.

Export Frequency Options

Horilla CRM supports multiple scheduling frequencies to match different business needs.

Daily Export

A daily export runs automatically every day. You configure a Start Date and, optionally, an End Date if the recurring export is only needed for a specific period.

Weekly Export

A weekly export runs once per week on a specific day. Configuration requires selecting the Day of the Week, a Start Date, and an optional End Date

Monthly Export

A monthly export runs on a chosen day each month. You specify the Day of the Month, a Start Date, and an optional End Date

Yearly Export

A yearly export runs once per year on a specific date. Configuration requires the Day of the Month, the Month, a Start Date, and an optional End Date.

Once configured, click Schedule to save. The export will run automatically at the defined frequency without any further manual action required.

Scheduled Exports List View

After scheduling an export, it appears in the Scheduled Exports section on the Export Data page.

The list view displays:

  • Modules – Selected modules included in the export
  • Export Format – Excel, CSV, or PDF
  • Frequency – Daily, Weekly, Monthly, or Yearly
  • Last Executed On – Timestamp of the last successful run.
  • Actions – Edit or delete scheduled exports.

Managing Scheduled Exports

Horilla CRM provides inline actions for scheduled export management.

Available actions:

  • Edit – Modify frequency, dates, or modules
  • Delete – Remove scheduled exports with confirmation.

These actions allow administrators to adjust data automation as business requirements change.
