Efficient time management is essential for successful CRM operations. In Horilla CRM, the Calendar is available under the Schedule section, providing users with a centralized space to manage all time-based activities.

Accessing the Calendar from the Schedule Section

To access the Calendar in Horilla CRM:

  1. Navigate to the Schedule section from the main sidebar.
  2. Click on the Calendar menu.

Once opened, the Calendar displays all your CRM activities in a structured, time-based layout, making it easy to manage daily, weekly, monthly, and yearly schedules.

Understanding the Calendar Interface

The Calendar interface is designed to be clean and intuitive:

  • A central calendar grid showing activities
  • View selection buttons (Day, Week, Month, Year) at the top

Month View

The Month View displays all activities in a monthly grid, helping users:

Week View

The Week View offers a detailed breakdown of activities across the week, making it easier to:

  • Manage overlapping tasks and meetings

Day View

Across all views, users can navigate easily using:

  • Today to return to the current date
  • Previous and Next buttons to move across dates

Managing Activities and Preferences

The Calendar in the Schedule section supports multiple CRM activity types:

  • Tasks
  • Events
  • Meetings
  • Unavailability

Each activity appears on the calendar based on its scheduled start and end time.

Activity Preferences and Color Coding

  • Users can personalize their calendar view by configuring preferences for each activity type.
  • Activity types such as Tasks, Events, Meetings, and Unavailability are listed in the right-side calendar panel.
  • Each activity type includes an action menu that allows users to manage its display behavior.
  • The “Display This Only” option lets users focus on a single activity type by hiding all others from the calendar view.
  • Users can assign a custom color to each activity type using the Color option in the preference menu.
  • Once a color is selected, all activities of that type are displayed in the chosen color across the calendar.
  • Color coding helps users quickly distinguish between different activity types at a glance.
  • Activity display and color preferences are user-specific and do not affect other users.

Creating a New Activity from the Calendar

Users can add activities directly from the Calendar:

  • Click on a specific date or time within the calendar.
  • A quick action pop-up appears with options such as New Activity and Mark as Unavailable.
  • Select New Activity to create a task, event, or meeting.
  • The activity creation form opens.
  • Fill in the required activity details.
  • Click Save to add the activity to the calendar.

The newly created activity appears instantly in the selected calendar view.

Mark Unavailability

The Calendar also allows users to manage Unavailability:

  • Click on a specific date or time within the calendar.
  • Select Mark Unavailable from the quick action pop-up.
  • The Mark Unavailability form opens.
  • Fill in the required details.
    • From date and time.
    • To date and time.
    • Reason for unavailability.
  • Click Save to block the selected time in the calendar.

Viewing and Managing Activity Details

Quick Detail Popup

  • Clicking on any activity in the calendar opens a short detail pop-up.
  • The pop-up displays key activity information, including:
    • Subject and description
    • Assigned user
    • Start and end dates
    • Current status
  • The pop-up also provides quick action options:
    • Edit
    • Delete
    • Mark as Complete
    • Info

Full Detail View

  • Clicking the Info option in the quick detail popup opens the full activity detail page.
  • The full detail view includes:
    • All activity fields
    • Inline editing for quick updates
    • Status progress tracking
    • A History tab to audit updates and changes
