What are the views in Horilla CRM?

A view is simply a filtered way of displaying records in a module. Instead of scrolling through every record each time you open a module, views let you cut straight to the data that actually matters to you, based on conditions you define yourself.

For example, in the Opportunities module, you might want to see only website-generated opportunities, deals sitting in the “Prospecting” stage, or records that were recently updated. Views make all of this possible with just a few clicks.

Default View Types

Horilla CRM comes with several built-in views available across most modules, so you can get started right away without setting anything up manually.

1. All Items

This view shows every record available in the module. It is the go-to option when you need a complete picture of everything without any filters applied.

2. Recently Viewed

This one surfaces records you have opened recently, which is especially handy when you are jumping between tasks and need to pick up where you left off.

3. Recently Created

As the name suggests, this view pulls up newly added records. It is a practical choice when you want to keep tabs on fresh entries coming into the system.

4. Recently Modified

This view lists records that were updated recently, making it much easier to stay on top of any changes across your data without having to hunt for them.

These default views are there to save you time in everyday situations. They take care of the most common filtering needs automatically, so you are not setting things up from scratch every session.

How to Create a New View

Custom views let you shape the data display around your specific needs. The steps below use the Opportunities module as an example, but the process works the same way in any module across Horilla CRM.

Step 1: Open View Dropdown

Navigate to the module you want to work in, such as Opportunities, and click on the View dropdown. By default, it usually shows “All Items.”

Step 2: Select “+ List View”

Click the option to create a new view. A configuration panel will open where you can start defining your view.

Step 3: Fill in the Form

  • Set your filter conditions, such as Lead Source equals Website, Stage equals Prospecting, or Type equals New Customer — stack as many as you need to narrow down the records precisely.
  • Give the view a clear, descriptive name like “Website Opportunities” so its purpose is obvious at a glance.
  • Toggle on Make as public if your teammates need access, or leave it off if the view is just for your own use.
  • Hit Save, and the view is created and applied immediately.

Using a Created View

Once you save a view, it shows up in the dropdown list ready to use. Selecting it automatically applies all the filters you defined, so you see only the matching records without any extra steps. For sales teams especially, this kind of quick access to specific opportunity segments can make a real difference to how fast things get done day to day.

Managing Existing Views

As your needs change, so will your views. Horilla CRM gives you straightforward options to keep them up to date.

Edit a View

Select the view from the dropdown and click Edit List. From there, you can adjust the filters, rename the view, or change any other settings. Save your changes when done.

Delete a View

Select the view you want to remove, click Delete List, and confirm the action. It is worth reviewing your views periodically and clearing out anything you no longer use so the list stays tidy.

How to Pin a View as Default

  • If there is a particular view you keep coming back to, pin it so it loads automatically every time you open the module.
  • Select the view from the dropdown, then click the pin icon next to the view selector — that view is now your default.
  • To unpin it, simply click the pin icon again, or pin a different view, and it will replace the current default automatically.
