Managing HR operations across multiple entities can be challenging without the right tools. Horilla HRMS simplifies this by providing a powerful multi-company feature, allowing users to easily switch between organizations and manage employee data independently per company.

In this guide, we’ll walk you through how to switch between companies in Horilla and what changes you’ll notice during the process.

Step-by-Step: Switching Between Companies

1. Access the Company Switcher

In the top-right corner of your dashboard, you’ll find a building icon beside your profile.

  • Click the building icon (marked as 1 in the screenshots) to open the company switcher menu.

2. Select a Company

From the dropdown, you’ll see all companies your account has access to.

  • Click on the company you want to switch to (marked as 2).

For example:

  • Selecting Horilla displays the main HR dashboard/page section related for “Horilla”.
  • Selecting Horilla Inc. brings up the dashboard/page section and employee data for that specific entity.

3. View the Switched Company

Once selected:

  • The sidebar logo and name update
  • The employee list refreshes to show data related only to the selected company.
  • All modules, like Employee, Attendance, Recruitment, and Onboarding, now reflect data for the chosen company.
  • If you select ‘All Company,’ then all the data will be within a single section for the particular view.

Who Can Switch Between Companies?

The ability to switch between companies in Horilla is a privileged action that is specifically restricted to users with the appropriate role-based access. This ensures that sensitive company-specific HR data is only accessible to authorized personnel, maintaining high standards of data security and operational control.

Eligible Roles

  • HR Admins:

Only users assigned the HR Admin role (Or users with view company permission) within the system are allowed to access and use the company switcher feature. These users typically oversee core HR operations across one or more entities and require visibility into employee records, attendance, payroll, and recruitment data across companies.

  • Super Admins/Global HR Heads (if applicable in your organization):

If your Horilla instance is configured with a global HR oversight role, these users may also have access to the “All Company” view, allowing them to view consolidated data across all entities.

Tips

  • You can always return to the All Company view if you have overarching permissions and want to view data across companies.
  • Use filters to further narrow down the information, such as departments, job positions, or employee status.

Conclusion

The multi-company feature in Horilla offers a seamless and efficient way to manage HR operations across multiple organizations under one unified platform. Whether you’re an HR manager, admin, or executive overseeing different business units or subsidiaries, switching between companies is effortless and intuitive. With just a few clicks, you can navigate from one company to another while ensuring that all data, including employee records, documents, shift details, and more, is isolated and specific to the selected entity.

This not only enhances data accuracy and confidentiality but also significantly reduces administrative overhead. By centralizing access while maintaining company-specific visibility, Horilla empowers businesses to scale their HR operations without compromising on control or compliance. It’s a feature designed with real organizational complexity in mind, making Horilla a truly enterprise-ready HRMS solution.
