Prerequisites: Set Up Before You Shortlist

Before using the shortlisting feature, a couple of configurations are essential:

1. Create Skill/Keyword Tags

Navigate to: Settings > Recruitment > Skills

Add the skill tags relevant to your recruitment needs using the create button (marked as 4). For example:

  • Design
  • Communication
  • Project Management

These skills/keywords act as the criteria for evaluating or scoring resumes.

2. Link Skills to the Job Post

Go to the Recruitment Module,

edit your job post, and assign the skills already created above in the ‘Create Skill/Keyword Tags’ section.

And save the form

Note: Only resumes matching these defined skills will be scored correctly.

Uploading and Scoring Resumes

Once your job post is skill-configured, you’re ready to begin the shortlisting process.

Step 1: Access Resume Shortlisting

  • Open the Recruitment Pipeline
  • Click the three dots (⋮) on the recruitment tab
  • Select Resume Shortlisting

Step 2: Upload Resumes

  • Click the “+” button to upload one or more resumes (PDF only)
  • You can upload in bulk; the system will process them simultaneously

Step 3: Automated Skill-Based Scoring

Horilla reads the resumes and compares them with the required skill set defined in the recruitment.

Each resume gets a score based on how many skills match. For example:

  • Resume 1 → Score: 3
  • Resume 2: 1/3 matches → Score: 2

You can preview each resume in real-time to cross-verify the content using the create candidate option before converting the candidate (marked as 2).

Creating a Candidate from a Resume

When a resume stands out based on its score, you can instantly convert it into a candidate after reviewing their resume at the same time.

1. Click Create Candidate beside the desired resume

2. The Candidate Creation form opens with auto-filled fields:

  • Name
  • Email
  • Job Title
  • Resume attached
  • etc.

3. Additional fields like phone number, portfolio link, gender, and address can be manually added or verified from the visible resume preview if they’re not automatically populated

4. Click Apply to create the candidate

To create more candidates from the same batch of resumes, simply repeat the process.

Note on Unreadable PDFs

Some resumes, especially scanned or image-based PDFs (not ATS friendly), can’t be parsed.

These will be marked as “Need Verification” in the score column. You can still review and manually create a candidate from them if necessary.
