Horilla CRM solves this by allowing users to generate meeting links directly from CRM activities using Zoom, Google Meet, or Microsoft Teams. Once configured, meetings can be scheduled without leaving the CRM, helping teams stay organized and productive.

In this guide, you’ll learn how administrators can enable meeting integrations and how users can connect their preferred meeting providers.

Why Use Meeting Integration?

Meeting Integration in Horilla CRM helps teams:

  • Create online meeting links directly from CRM activities.
  • Schedule customer meetings without switching applications.
  • Automatically store meeting URLs within CRM records.
  • Support multiple providers, including Zoom, Google Meet, and Microsoft Teams.
  • Improve collaboration and customer engagement.

Enabling Meeting Integration as an Administrator

Before users can generate meeting links, an administrator must enable the feature for the organization.

Navigate to:

Settings → Integrations → Meeting Integration

Enable the Meeting Integration toggle and confirm the action when prompted.

Once activated, the status changes to indicate that users can begin connecting their meeting providers and generating meeting links.

Important

Disabling Meeting Integration removes all stored OAuth tokens associated with connected providers across the organization. Users will need to reconnect their accounts if the feature is enabled again later.

Configuring Access Control

After enabling the integration, administrators can decide who is allowed to create meeting links.

Horilla CRM provides three access control options:

All Users

Select this option when every user in the organization should have access to meeting integrations.

Specific Roles

Choose this option to restrict access based on user roles.

Administrators can:

  • Select one or more roles.
  • Save the configuration.
  • Review assigned roles anytime from the access control panel.

Specific Users

This option grants access only to selected individuals.

Administrators can:

  • Choose individual users.
  • Save the configuration.
  • Modify the list whenever needed.

This flexibility ensures meeting integrations are available only to the users who require them.

Connecting Zoom

Users who want to generate Zoom meeting links must connect their Zoom account.

Create a Zoom OAuth Application

Start by signing in to the Zoom Marketplace Developer Portal and creating a new OAuth application.

Configure the OAuth settings and add the callback URL provided in Horilla CRM:

https://<your-horilla-domain>/meeting/zoom/callback/

After creating the application, copy the following values:

  • Client ID
  • Client Secret

Connect Zoom in Horilla CRM

Navigate to:

My Settings → Meeting → Zoom

Then:

  1. Enter the Client ID and Client Secret.
  2. Save the credentials.
  3. Click Connect Zoom.
  4. Complete the Zoom authorization process.
  5. Return to Horilla CRM.

A Connected status confirms that the integration is active.

Enabling Google Meet

Google Meet integration uses the existing Google Calendar connection.

If Google Calendar Is Not Connected

Navigate to:

My Settings → Meeting → Google Meet

Click Connect Google Calendar and complete the authorization process.

If Google Calendar Is Already Connected

Simply open the Google Meet settings and click Enable Google Meet.

A green status badge indicates that Google Meet is ready to use.

Note

The Google Meet option is available only when Google Calendar Integration has been enabled by the administrator.

Connecting Microsoft Teams

Microsoft Teams integration requires a Microsoft 365 work or school account.

Personal Microsoft accounts such as Outlook.com, Hotmail.com, and Live.com are not supported.

Register an Application in Azure

Sign in to the Microsoft Azure Portal and create a new application registration.

Configure the application and add the callback URL supplied by Horilla CRM:

Create a Client Secret

Generate a new client secret and securely store its value, as it is displayed only once.

Configure API Permissions

Add the following Microsoft Graph delegated permissions:

  • OnlineMeetings.ReadWrite
  • User.Read

Grant administrator consent to ensure the application can access the required resources.

Collect Required Credentials

From the Azure application overview, copy:

  • Application (Client) ID
  • Directory (Tenant) ID
  • Client Secret

Connect Teams in Horilla CRM

Navigate to:

My Settings → Meeting → Microsoft Teams

Enter:

  • Client ID
  • Client Secret
  • Tenant ID

Save the credentials and click Connect Teams.

After successful authorization, the provider status changes to Connected.

Creating Online Meetings in Horilla CRM

Once a provider is connected, users can generate meeting links directly from CRM activities.

To create an online meeting:

  1. Create or open a Meeting activity.
  2. Enable the Online Meeting option.
  3. Select a meeting provider.
  4. Allow Horilla CRM to generate the meeting URL automatically.
  5. Save the activity.

The generated meeting link is stored with the activity record and can be shared with attendees.

Managing Connected Providers

Users can manage their integrations at any time through:

My Settings → Meeting

Zoom and Microsoft Teams

Users can:

  • Disconnect an account.
  • Reconnect an account.
  • Refresh authorization when needed.

Google Meet

Users can:

  • Disable Google Meet access.
  • Keep Google Calendar connected separately.

This allows greater flexibility in managing meeting providers.

Troubleshooting Common Issues

Meeting Settings Not Visible

The integration may be disabled, or the user may not have the required access permissions.

Zoom Connection Errors

Expired tokens or missing credentials can prevent Zoom from connecting. Reconnecting the account typically resolves the issue.

Google Meet Option Missing

Google Calendar Integration may not be enabled by the administrator.

Google Calendar Authorization Required

Users must complete the Google Calendar connection before enabling Google Meet.

Teams Personal Account Error

Microsoft Teams integration supports only Microsoft 365 work or school accounts.

Redirect URI Mismatch

Ensure the callback URL configured in Azure or Zoom matches the URL displayed in Horilla CRM.

Permission Denied Errors

Verify that the required Microsoft Graph permissions have been added and administrator consent has been granted.
