Whether you manage a local office, a remote workforce, or a global support team, Shift Hours provides the flexibility needed to organize employee availability accurately. This guide explains how to create, configure, edit, and manage shift hours in Horilla CRM.
Where to Find Shift Hours
To access Shift Hours in Horilla CRM:
- Log in to Horilla CRM.
- Click Settings from the sidebar.
- Under the General section, select Company Information.
- Open the Working Hours tab.
- Click the Shift Hours sub-tab.
The Shift Hours page displays all existing shifts configured for your company. From here, you can create new shifts, review existing schedules, edit configurations, and delete shifts when needed.

Creating a New Shift Hour
Click Add Shift Hour to open the shift creation form.

Shift Name
Enter a clear and descriptive name for the shift. Examples include:
- US Morning Shift
- APAC Support Team
- Night Operations
- Weekend Support
Using meaningful names makes it easier to identify shifts throughout the system.
Time Zone
Select the time zone that applies to the shift. All working hours and break times entered for the shift are interpreted according to the selected time zone.
Horilla CRM supports a comprehensive list of standard IANA time zones, making it suitable for organizations operating across multiple regions.
Shift Hours Configuration
The Shift Hours field determines how working hours are defined for the shift.
You can choose between two scheduling methods.
Same Hours Every Day
Select this option when the shift follows the same schedule on all working days.

After selecting this option:
- Choose the working days.
- Enter a default start time.
- Enter a default end time.
For example, a shift may operate Monday through Friday from 09:00 to 18:00.
Different Hours Every Day
Select this option when working hours vary throughout the week.
Separate start and end time fields are displayed for each day of the week. Enter the schedule only for active days.

For example:
- Monday: 09:00–18:00
- Tuesday: 10:00–19:00
- Wednesday: 09:00–18:00
Days left empty or with default values are treated as non-working days.
Horilla automatically determines active working days based on the entered schedule.
Configuring Break Hours
Each shift can include up to two separate break periods:
- Break 1
- Break 2
Each break can be configured independently.
For every break slot, you can choose one of the following options:
- No Break Hours
- Same Hours Every Day
- Different Hours Every Day
Same Break Hours Every Day
Choose this option when the break occurs at the same time on selected days.

After selecting the option:
- Choose the break days.
- Enter the break start time.
- Enter the break end time.
For example:
- Break Time: 13:00–14:00
- Break Days: Monday to Friday
Horilla validates that the break period falls completely within the configured shift hours.
If a break falls outside the shift schedule, an error message is displayed indicating the affected day.
Different Break Hours Every Day
Choose this option when break times vary by day.

Separate break start and end fields are displayed for each day of the week.
For example:
- Monday: 13:00–14:00
- Tuesday: 13:30–14:30
- Wednesday: 12:30–13:30
Only fill in the days that require a break period.
Horilla stores each day’s break schedule separately and validates it against that day’s shift hours.
Assigning Users to a Shift
The Assigned Users field allows administrators to associate employees with a shift.

This field displays all active users within the company.
You can:
- Assign one user to multiple shifts.
- Assign multiple users to the same shift.
Simply select the required users from the multi-select field before saving the shift.
The Shift Hours list displays the number of assigned users, making it easy to review staffing levels at a glance.
Viewing Shift Details
Click a shift name from the Shift Hours list to open the detail view.

The detail view displays:
- Shift name
- Time zone
- Shift schedule
- Working days
- Break 1 configuration
- Break 2 configuration
- Assigned users
- Active status
This view provides a complete summary of the shift configuration without opening the edit form.
Administrators can also access edit and delete actions directly from the detail view.
Editing and Deleting a Shift
Horilla CRM makes it easy to update existing shift schedules or remove shifts that are no longer required. Administrators can quickly modify shift details, working hours, break configurations, and user assignments, while unnecessary shifts can be deleted with a confirmation step to prevent accidental removal.

Editing a Shift
To modify an existing shift:
- Open the Shift Hours list.
- Click the Edit icon next to the desired shift.
Alternatively:
- Open the shift details.
- Click Edit.
The form loads with all existing values pre-filled. When changing scheduling methods or break configurations, Horilla dynamically updates the form using HTMX, displaying only the fields relevant to the selected options without requiring a full page refresh.
Deleting a Shift
To remove a shift:
- Click the Delete icon from the list view or detail view.
- Review the confirmation prompt.
- Confirm the deletion.
Once confirmed, the shift is permanently removed from the system, and the Shift Hours list is refreshed automatically.

To keep schedules organized and easy to maintain:
- Use descriptive shift names.
- Configure the correct time zone before entering hours.
- Review break schedules carefully to ensure they fall within working hours.
- Periodically review user assignments.
