If you find yourself applying the same set of filters every time you open the Employees page, there’s a faster way. Horilla HRMS lets you save any combination of filters under a named shortcut, so you can jump straight to your preferred view without reconfiguring it from scratch each time. Here’s how it works.
Opening the Employees Page
Start by navigating to the Employee module from the left sidebar and selecting Employees.

The page loads all active employees with their name, email, job position, department, and online status. You can switch between card and list view using the toggle icons near the top right.

Applying a Filter

The panel is organized into sections, including Employee, Work Info, Advanced, and Group By.
Under the Work Info section, you will find fields for Company, Reporting Manager, Department, Job Position, Shift, Work Type, Employee Tag, and Currently Working. Select the values you want to filter by. For example, selecting a specific department, such as Hr Dept, narrows the employee list down to only those belonging to that department.

Once your selections are in place, click the Filter button at the bottom of the panel to apply them. The active filters appear as tags just below the top toolbar, such as “Department: Hr dept” and “Is active: Yes”, so you can see at a glance what’s currently applied.

Saving the Filter
With your filters active and the results showing exactly the employees you want, click the Save button in the filter tag area at the top. A tooltip labeled “Save filter” confirms the action before you click.

This opens the Save Applied Filter dialog with two fields:

- Title is a required field where you give your saved filter a recognizable name. Something descriptive like “HR Filter” works well, so you can identify it quickly later.
- Is default is a toggle that, when enabled, automatically applies this filter every time you open the Employees page. Leave it off if you only want the filter available on demand rather than always active.
- Color is a required field that lets you assign a color to the saved filter tag. This makes different saved filters visually distinct when multiple ones are displayed side by side.
Once you’ve filled in the title and chosen a color, click Save to store the filter. If you want to save another filter combination immediately after, click Save.
Using and Managing Saved Filters
After saving, the filter appears as a labeled tag directly in the Employees page toolbar, sitting alongside status indicators.

Clicking the saved filter tag instantly applies its full set of criteria to the employee list, bringing up the filtered results without any manual reconfiguration.
Each saved filter tag also displays a small edit icon and a delete(will be visible on hover) icon next to its label. The edit icon lets you update the filter’s title, color, or default setting if your needs change. The delete icon removes the saved filter entirely when it’s no longer needed.
Why This Saves Time
HR teams that regularly work with specific subsets of employees, whether by department, job position, shift, or active status, often repeat the same filtering steps multiple times a day. Saved filters eliminate that repetition entirely. Instead of opening the filter panel, selecting values, and applying them each session, a single click on the saved filter tag restores the exact view you need.
This is particularly useful when managing large employee lists where scrolling through unfiltered records to find a specific group is impractical.
