Salesforce provides a Recycle Bin feature that allows users to recover deleted records within a specific retention period. This feature is crucial for preventing accidental data loss and ensuring that important records can be restored when needed. The Salesforce UI offers a straightforward method to retrieve deleted records without requiring technical knowledge or additional tools.

Understanding how the Recycle Bin works and how to use it efficiently can help organizations maintain data integrity and prevent permanent data loss. This guide explains the process of restoring records through the Salesforce user interface (UI) and highlights important considerations to keep in mind.

Understanding the Salesforce Recycle Bin

When a record is deleted in Salesforce, it does not get removed permanently right away. Instead, it is moved to the Recycle Bin, where it stays for 15 days (the default retention period). During this time, users have the option to restore or permanently delete records.

If the record is not restored within 15 days, Salesforce automatically removes it permanently. Once a record is permanently deleted, it cannot be recovered unless a backup solution has been set up beforehand.

Who Can Restore Records?

Not all users can restore deleted records. The ability to restore a record from the Recycle Bin depends on the user’s permissions and roles:

  • Users can restore records they deleted themselves.
  • Salesforce Admins can restore records deleted by any user.
  • If a record was deleted by another user, the original owner might not have permission to restore it.

Admins have the most control over restoring deleted records, making them the go-to users for record recovery if standard users encounter access issues.

Steps to Restore Deleted Records Using the Salesforce UI

Restoring deleted records through the Salesforce UI is the easiest and most accessible method. Follow these steps:

1. Access the Recycle Bin

To begin the restoration process:

  • Select the App Launcher, represented by a grid icon in the upper-left corner.
  • Type Recycle Bin in the search bar and select it from the results.

2. View Deleted Records

  • The Recycle Bin displays all recently deleted records.
  • If you are an admin, you will see two tabs:
    • My Recycle Bin – Contains only the records you personally deleted.
    • Org Recycle Bin – Contains all deleted records in the organization (visible only to admins).

3. Search for the Record

  • If there are many deleted records, use the search bar in the Recycle Bin to quickly find the record you need.
  • You can also filter records by object type, such as Leads, Contacts, or Opportunities.

4. Select the Records to Restore

  • Locate the record(s) you want to restore.
  • Check the checkbox next to each record.
  • If you need to restore multiple records, select multiple checkboxes at once.
  • Click the Restore button at the top of the page.
  • Salesforce will reinstate the selected records to their original location with all related data intact.

5. Verify the Restoration

  • Navigate to the object where the record was originally stored (e.g., Contacts, Opportunities, or Cases).
  • Ensure that the restored record appears correctly in the system.

Actions: Restore, Delete, or Empty Recycle Bin

In the Recycle Bin, you have three main options:

  1. Restore
    • Click the Restore button to recover the selected records.
    • The records will be reinstated to their original location with all related data intact.
  2. Delete
    • Click the Delete button to permanently remove selected records from the Recycle Bin.
    • Once deleted, these records cannot be recovered.
  3. Empty Recycle Bin
    • Click this option to permanently delete all records in the Recycle Bin at once.
    • This action is irreversible, so proceed with caution.
    • Admins can empty the entire Recycle Bin for the organization, while regular users can only manage the records they deleted themselves.

Limitations of the Recycle Bin

While the Recycle Bin is helpful, it does have some limitations that users should be aware of:

  • Retention Period: Records remain in the Recycle Bin for 15 days before they are permanently deleted. After this, they cannot be restored.
  • Storage Limits: The Recycle Bin can store up to 25% of your organization’s total storage limit. If this limit is exceeded, older records are automatically purged before the 15-day period ends.
  • Hard Deletion: If a record was hard deleted (e.g., deleted using Data Loader with the “Hard Delete” option), it cannot be recovered from the Recycle Bin.

Conclusion

Restoring records from the Salesforce Recycle Bin using the UI is a simple but essential feature that helps prevent accidental data loss. By following the correct steps, users can easily recover deleted records without technical assistance. However, since records are only retained for 15 days, it is crucial to regularly review the Recycle Bin and implement backup strategies to prevent permanent data loss. Ensuring that only authorized users can delete records, setting up alerts before deletion, and using backup solutions will help maintain data integrity in your Salesforce organization.
