Every business operates on a financial calendar, and that calendar doesn’t always run from January to December. Some organizations follow April to March, while others use July to June, depending on statutory or strategic needs. Your CRM should adapt to this reality, not restrict it.

Horilla CRM includes a built-in Fiscal Year management system that allows you to define, configure, and update your company’s financial year directly from Settings. Once configured, forecasts, periods, and reports automatically align with your chosen structure.

What Is a Fiscal Year in CRM — and Why Does It Matter?

A fiscal year (FY) is a 12-month period used for financial reporting, budgeting, and performance tracking. It doesn’t have to match the calendar year.

In a CRM, the fiscal year acts as the foundation for sales reporting:

  • Forecasts are aligned with fiscal years and their quarters
  • Opportunity close dates map to the correct fiscal periods
  • Sales targets are tracked per period and quarter
  • Year-over-year comparisons rely on consistent fiscal boundaries

Without proper configuration, CRM data and financial reports can become misaligned. Horilla CRM solves this by generating fiscal years, quarters, and periods automatically from a single setup.

Step 1: Navigate to Fiscal Year Settings

Go to Settings in Horilla CRM and open the Fiscal Year tab under company settings.

Here, you can view:

  • Fiscal year type
  • Start month
  • Display year format

You’ll also find:

  • Preview Calendar – View the fiscal structure visually
  • Manage Fiscal Year – Open the configuration form

Step 2: Open the Configuration Form

Click Manage Fiscal Year to open the setup panel.

  • Existing configurations will be pre-filled
  • Choose your Fiscal Year Type:
    • Standard 
    • Custom 

Step 3: Configure Your Fiscal Year

  • Standard Fiscal Year

A Standard Fiscal Year follows a 12-month structure with one period per month.

Start Month

Select when your fiscal year begins:

  • January – Common global standard
  • April – Common in India and the UK
  • July – Used in some government and regional systems

This defines how quarters (Q1–Q4) are structured.

Display Year Based On

Choose how your fiscal year is labeled:

  • Starting Year → April 2025 – March 2026 = FY 2025
  • Ending Year → April 2025 – March 2026 = FY 2026

Align this with your finance team’s terminology.

  • Custom Fiscal Year (Week-Based)

A Custom Fiscal Year uses a week-based structure, commonly used in retail, manufacturing, and enterprise sales. Instead of uneven calendar months, each period contains a fixed number of weeks.

Custom Formats

Quarter-Based Format (3 periods per quarter):

  • 4-4-5 → 4 weeks, 4 weeks, 5 weeks
  • 4-5-4 → 4 weeks, 5 weeks, 4 weeks
  • 5-4-4 → 5 weeks, 4 weeks, 4 weeks

Year-Based Format (across full year):

  • 3-3-3-4
  • 3-3-4-3
  • 3-4-3-3
  • 4-3-3-3

These formats ensure equal-length reporting periods, making quarter-to-quarter comparisons more accurate.

  • Additional Configuration Options

Once you select your fiscal year type, Horilla CRM provides additional settings:

  • Start Date (Month & Day)
    Define the exact start (e.g., July 1)
  • Week Start Day
    Automatically calculated for custom fiscal years (adjustable if needed)
  • Display Year Based On
    Choose the starting or ending year format
  • Period Display Option
    • Sequential (1–12 across year)
    • Reset per quarter (1–3 per quarter)

These options ensure your CRM matches how your finance team structures reports internally.

Step 4: Save Your Configuration

Click Save, and Horilla CRM will automatically:

  • Create the current fiscal year instance
  • Generate all quarters (Q1–Q4)
  • Create periods (monthly or weekly-based)
  • Mark the current period as active

No manual setup is required.

Step 5: Preview the Fiscal Calendar

Use the Preview Calendar to visually verify your setup.

Example (April start – Standard):

  • Q1: April – June
  • Q2: July – September
  • Q3: October – December
  • Q4: January – March

You can also navigate between past and future fiscal years.

How the Fiscal Year Connects to Forecasting

Once configured, the fiscal year powers the Forecast module.

  • Opportunities are mapped to fiscal periods based on close dates
  • Forecasts align with quarters and periods
  • Revenue tracking becomes structured and accurate

Example:
A deal closing on September 20 (with an April start) is automatically placed in Q2.
