How to Manage Tasks in Horilla CRM

Sales move quickly, making it easy for follow-ups to be overlooked. Horilla CRM’s Tasks section tucked inside the Activity tab of any CRM record gives you a simple way to capture what needs to happen next, who’s responsible for it, and when it’s due.

Whether you’re reminding yourself to call a prospect back, assigning a teammate to send a proposal, or just keeping track of open items on an account, tasks help your team stay organized without adding friction to your day.

This guide walks you through everything you need to know: creating tasks, editing them, and keeping your list clean and up to date.

Where to Find Tasks

Tasks live inside the Activity tab, which you’ll find in the Detail View of any CRM record — Leads, Opportunities, Accounts, and Contacts all have one.

To get there:

  1. Open any CRM record
  2. Click the Activity tab in the tab bar
  3. Select Tasks from the left sidebar

You’ll land on the task list for that record, divided into two sections: Pending and Completed.

What You’ll See in the Task List

The task list is split into two panels:

  • Pending — Everything that isn’t done yet, regardless of where it stands (Not Started, In Progress, Waiting, etc.)
  • Completed — Tasks that have been finished or marked as done.

Creating a Task

Click Add Task at the top of the task list. A form will open — here’s what to fill in:

  • Subject — A quick summary (e.g., “Follow up on proposal”)
  • Title — A more specific name (e.g., “Send revised pricing to client”)
  • Owner — The main person accountable for this task
  • Assigned To — Anyone else who’ll be working on it (you can pick multiple people)
  • Priority — High, Medium, or Low depending on urgency
  • Due Date & Time — The deadline
  • Status — Where the task starts: Not Started, Scheduled, In Progress, Waiting, Completed, Cancelled, or Deferred
  • Description — Any extra context or instructions that’ll help whoever’s doing the work

Hit Save, and the task appears immediately in the Pending panel.

Editing a Task

Things change — deadlines shift, tasks get reassigned, and statuses need updating.

  1. Locate it in either the Pending or Completed list.
  2. Click the pencil icon on the right side of the row.
  3. Update whatever needs to change
  4. Click Save

The list refreshes right away with your changes.

Deleting a Task

If a task is no longer relevant:

  1. Click the delete icon on the task row
  2. Confirm when prompted

That’s it — the task is gone.

One thing worth noting: deletion is permanent. If you’re not sure whether a task is still needed, it’s usually better to set its status to Cancelled or Deferred rather than deleting it. That way, you keep a record of what was planned.

Once you get into the habit of logging tasks directly on CRM records, a few things get noticeably easier:

  • Context stays attached — The task lives on the record it belongs to, so nothing gets orphaned in a separate to-do list
  • Ownership is clear — Assigning tasks to specific people removes the “I thought you were handling that” problem
  • Nothing gets forgotten — Due dates and priority levels make it easy to see what needs attention today versus what can wait.
  • Progress is visible — Status updates mean managers and teammates don’t have to chase anyone down for updates.
  • The view stays clean — Pending and Completed panels separate active work from finished items without any manual filtering.g
