Navigating the Recruitment Lists

To effectively manage candidate attachments, you first need to access the recruitment pipeline in Horilla HRMS. This pipeline serves as the central hub where all active recruitment drives are listed, allowing recruiters to track candidates and manage application processes efficiently. Follow these steps to navigate to the Recruitment Pipeline:

  1. Go to the Recruitment module.
  2. Navigate to the Recruitment section, where ongoing recruitment drives are listed.
  3. Select the relevant recruitment drive to manage candidate attachments.

Setting Up Optional Candidate Attachments

Step 1: Configuring the Recruitment Drive

To enable or disable the optional attachment feature:

1. Click on Actions and select Edit on the recruitment drive.

Scroll down to locate the toggles for Optional Profile Image and Optional Resume.

2. Toggle the settings based on your preference

    Off: Candidates must upload a profile image and resume.

    On: Candidates can proceed without uploading these documents.

    3. Save the changes by clicking the save button.

      Step 2: Adding a Candidate With Required Attachments

      If the optional attachments are disabled, candidates will be required to upload a profile picture and a resume. Here’s how it works:

      1. Navigate to the candidate section and click the create candidate button

        2. Enter the candidate’s details & Submit:

        • Name
        • Email ID
        • Phone number
        • Gender
        • Job position and stage
        • etc..

        3. Since attachments are mandatory, the system will prompt you to upload a profile picture and resume if you submit the form without adding it.

        4. Since attachments are mandatory, you will need to upload a profile picture and a resume before proceeding.

        5. Click Save to add the candidate successfully and filter the candidate to ensure the creation.

        6. Let’s see how this looks fromthe recruitment pipeline section, navigate to Recruitment>Pipeline

        7. Click add candidate button (Marked as 3), A popup to fill candidate details will appear.

        Similarly here you will see the attachments fields are required(You will notice a start mark).

        Step 3: Adding a Candidate Without Required Attachments

        If the optional attachments are enabled, candidates can be added without uploading a profile picture or resume:

        1. Click on Actions and select Edit to modify the recruitment drive settings. (Similar to Step 1: Configuring the Recruitment Drive)

          2. Turn on the toggles for Optional Profile Image and Optional Resume.

          3. Click Save to apply the changes.

            4. Now, go to Add Candidate and fill in the required details without uploading any attachments and profile image.

            5. Click Save, and the candidate will be added without a profile picture or resume.

            6. Let’s see how this looks from the recruitment pipeline section, navigate to Recruitment>Pipeline

            7. Click the add candidate button (Marked as 3), A popup to fill candidate details will appear.

            Here you will see that the attachment fields are optional(No star mark).
