In the evolving world of workforce management, accurate attendance tracking is critical for productivity, compliance, and payroll accuracy. With businesses increasingly adopting biometric devices for real-time attendance logging, Horilla — the powerful open-source HRMS platform — now offers seamless integration with e-Time Office biometric devices.

This new integration simplifies attendance workflows using API-based communication, allowing businesses to automatically fetch and map employee attendance data with ease. From device connection to scheduled log retrieval, the integration ensures a smooth, real-time experience that helps HR teams focus on people instead of manual data entry.

Connecting Your e-Time Office Biometric Device to Horilla

Setting up the integration is intuitive and quick. Here’s a step-by-step breakdown of how to connect your device within Horilla HRMS:

1. Navigate to Biometric Devices Section

From the sidebar, go to:

Attendance → Biometric Devices

2. Add or Edit a Device

To add a new biometric device:

  • Click on the “+ Add” button.

To update an existing one:

  • Click the three-dot menu (⋮) on the device card and select Edit.

You’ll be prompted with a form requiring the following information:

  • Name: Give your device a recognizable name (e.g., “e-Time Exit Door”).
  • Device Type: Choose e-Time Office from the dropdown.
  • Username & Password: Enter the API credentials provided by your e-Time Office account.
  • API URL: By default, use https://api.etimeoffice.com/api/. This is the endpoint Horilla uses to communicate with the e-Time Office system.
  • Company: Select the company profile associated with this device.

3. Test the Connection

After filling in the form, click the Test button. Horilla will try to authenticate and communicate with the device using the API credentials. If successful, your e-Time Office biometric device is now connected to Horilla HRMS.

Managing and Mapping Employees

Once connected, Horilla provides intuitive tools to manage employees and ensure proper mapping between your biometric device and HRMS database.

View Device Employees

  • Click the Employee button on the device card.
  • Horilla will display a list of all users registered on the biometric terminal who have a matching Emp Code with Horilla employees Badge ID.

Map Employees

If your biometric device already contains users, use the Map Employee option to connect them to your Horilla employee records:

  • Employee: Choose from the Horilla employee database.
  • Emp Code: Enter the Emp Code as registered on the biometric device.

Mapping ensures that logs fetched from the device are correctly assigned to employees in Horilla, keeping records synchronized and accurate.

Fetching Attendance Logs – Manual & Scheduled

Horilla supports both manual and automated methods to fetch attendance data from e-Time Office devices.

Manual Fetch

  • Click the ⋮ menu on the device card.
  • Select Fetch Logs.
  • Horilla will immediately pull the latest attendance logs up to the current moment from the device via the API.

Automated Fetch Using Scheduler

  • Use the Schedule button on the device card.
  • Set your preferred time (e.g., 09:00) in HH:MM format.
  • Horilla will automatically fetch attendance logs at this interval using the e-Time Office API.

This automation ensures your records stay up-to-date without manual effort, making daily HR operations smoother.

Why e-Time Office Integration Matters

This integration bridges the gap between biometric attendance data and HR processes. Here’s why it’s a game-changer:

  • Real-Time Syncing: Automatically pull logs using live API communication.
  • Accurate Payroll: Eliminate discrepancies between attendance records and salary calculations.
  • Time-Saving Automation: No more manual file imports or CSV uploads.
  • Open-Source Flexibility: Horilla’s integration keeps your system vendor-free and customizable.

With e-Time Office devices and Horilla working together, your HR team gets a unified, efficient, and error-free attendance management system.

Conclusion

The integration of e-Time Office biometric devices with Horilla HRMS marks a new era in smart HR automation. Designed for scalability, accuracy, and simplicity, it empowers businesses to track attendance in real time, reduce admin overhead, and streamline employee management — all from one centralized platform. Whether you’re managing a single office or multiple locations, this API-based integration ensures that your data stays consistent, reliable, and actionable.
