Analytics and reporting are central to running an effective CRM. Sales managers need visibility into lead conversion rates, pipeline health, and campaign performance — but building reports from scratch takes time and expertise. Horilla CRM solves this with the Load Default Reports feature.

Load Default Reports allows users to instantly populate the Reports section with pre-configured, module-specific reports that are ready to use out of the box. These reports come with predefined columns, groupings, filters, and chart types, giving teams a strong starting point without needing deep knowledge of the report builder.

Accessing the Reports Section

Before loading default reports, users must navigate to the Reports section in Horilla CRM.

Navigation Path

  • Go to Analytics from the main sidebar
  • Click on Reports

This opens the Reports List View, which displays all existing reports in the system.
If no reports exist yet, the page shows an empty state with a prominent Load Default Reports button to help users get started quickly.

What Are Default Reports?

Default reports are pre-built report configurations bundled with each CRM module. They are defined in structured data files and can be loaded into the system with a single action.

Each default report comes pre-configured with:

  • A meaningful report name
  • The relevant module (e.g., Leads, Opportunities)
  • Selected columns for display
  • Row grouping fields for structured breakdown
  • Pre-applied filters to focus data
  • A chart type for visualization

These reports are not created automatically when a module is installed. They remain available in the background and are only loaded when a user chooses to do so.

Accessing the Load Default Reports Feature

The Load Default Reports action can be accessed in two ways:

Option 1 — From the Empty State

When no reports exist, a Load Default Reports button appears in the center of the page.
Clicking it opens the selection modal directly.

Option 2 — From the Navbar Actions

When reports already exist:

  • Click the Actions menu in the top navigation bar
  • Select Load Default Reports

This opens the same selection modal.

The Load Default Reports Modal

Once opened, the modal displays a list of all available default reports across installed modules.

What the Modal Shows

  • Report name
  • Associated module (e.g., Leads, Opportunities)
  • Checkbox for individual selection

Select All Options

A Select All checkbox allows users to select or deselect all reports at once.
Individual checkboxes remain in sync with the master selection.

Loading Selected Reports

To load reports:

  • Select the required reports using checkboxes
  • Click Load Selected Reports

Horilla CRM then creates the selected reports in the database. The modal closes automatically, and the Reports List View refreshes to display the newly added reports.

If a report with the same name already exists, Horilla skips it to avoid duplication.

Default Reports Available by Module

Horilla CRM includes default reports for the Leads and Opportunities modules.

Leads Module — Default Reports

  • Leads by Source — Groups leads by origin channel and displays them as a pie chart, helping identify top-performing sources.
  • Converted Leads — Filters converted leads and shows them in a bar chart to track conversion performance.
  • Leads by Owner — Breaks down leads by assigned sales owner, useful for workload and performance analysis.
  • Leads by Status — Groups lead by status in a donut chart, providing a quick overview of the pipeline state.

Opportunities Module — Default Reports

  • Opportunities by Stage — Displays opportunities across pipeline stages using a scatter chart for pipeline visibility.
  • Opportunities by Source — Groups opportunities by source in a bar chart to highlight high-performing channels.

Report Folder Organization

When default reports are loaded, Horilla CRM automatically organizes them into folders.

  • Each module’s reports are placed in a dedicated folder
  • Supports parent-child hierarchy for nested folders
  • Missing folders are created automatically during loading

This ensures the Reports section remains structured and easy to navigate.

Key Benefits of Load Default Reports

  • Instant value — Start with ready-to-use reports immediately
  • Module-specific — Tailored to each CRM module
  • Customizable — Fully editable after loading
  • Organized — Automatically structured in folders
  • No duplicates — Existing reports are skipped
  • Permission-controlled — Secure and role-based access
  • Chart-ready — Visual insights available instantly

The Load Default Reports feature in Horilla CRM removes a major barrier to CRM adoption — starting with an empty reports section. Instead of building everything from scratch, users get access to a curated set of reports for Leads and Opportunities that cover common analytical needs.

With a single action, teams can load multiple ready-to-use reports, each pre-configured with columns, filters, groupings, and charts. Whether setting up a new CRM or speeding up reporting, this feature provides a fast and effective path to meaningful insights in Horilla CRM.
