How to Export Late Come Early Out Records in Horilla HRMS

Once your Late Come / Early Out tracking is running and records are accumulating, there will be times when you need that data outside the system — for payroll processing, management reporting, disciplinary documentation, or simply to analyze attendance patterns in a spreadsheet. Horilla HRMS provides two distinct ways to export these records, each suited to a different use case. This post walks through both methods clearly.

Where to Start

Navigate to Horilla > Attendance > Late Come Early Out from the Attendance sub-menu in the left sidebar. The sub-menu also shows Dashboard, Biometric Devices, Attendances, Attendance Requests, Hour Account, Work Records, Attendance Activities, Late Come Early Out, and My Attendances.

The Late Come / Early Out page shows a table with 75 records in the current example, with columns for Employee, Type, Attendance Date, Check-In, In Date, Check-Out, Out Date, and additional fields. The Select (75) button at the top left shows the full record count.

Export Method 1: Quick Export via Select and Export Button

The first export method is the faster of the two and works well when you want a straightforward column-based spreadsheet of selected records.

  • Step 1: Select your records. Click the Select (75) button to select all records at once. Each row gets checked with a checkbox on the left. If you only want to export specific records, check individual rows manually instead. Once records are selected, the bulk action bar appears at the top, showing Select, Unselect, Export, and Filter buttons — each displaying the count of selected records.
  • Step 2: Click the Export button from the bulk action bar. An Export modal opens with a list of column checkboxes and a file name field.

The available columns to include in the export are:

  • Employee
  • Type
  • Attendance Date
  • Check-In
  • In Date
  • Check-Out
  • Out Date
  • Min Hour
  • At Work
  • Penalities

A “Select All Columns” checkbox at the top selects all fields at once. The format selector at the top right defaults to Excel. There is also a File name field at the bottom where you can give the exported file a custom name — the default is “quick_export.”

  • Step 3: Choose your columns, name the file, and click Export. The file downloads immediately as a spreadsheet with one row per record and the selected columns as headers.

This method is best when you need a quick, clean export of the data exactly as it appears in the list — all records or a manually selected subset, with full control over which fields are included.

Export Method 2: Full Export via the Actions Menu

The second export method is accessed through the Actions button at the top right of the Late Come / Early Out page. Clicking Actions shows a dropdown with two options: Export and Delete.

Clicking Export from the Actions menu opens a different, more structured export modal titled “Export Late Come Early Out.” This modal has four collapsible sections rather than a flat checkbox list:

  • Excel columns — Controls which data fields are included in the spreadsheet output. Expanding this section lets you select from the available field list for the export.
  • Work Info — A separate section for including employee work-related fields alongside the attendance data — such as shift information, department, or job position — that are not part of the raw attendance record itself but provide useful context.
  • Late Come/Early Out — A section specifically covering the late come and early out specific fields, allowing finer control over what attendance-specific data is included.
  • Advanced — Additional options for filtering or formatting the export beyond the standard column selection.

Once the sections are configured as needed, clicking the Export button at the bottom downloads the file.

This method is better suited for comprehensive or structured reports — for example, when you need to export attendance records alongside employee work info for a payroll review, or when you need a report format that includes context beyond what is visible in the list view.

Which Method to Use

The two export methods serve different purposes, and the right choice depends on what you need the data for.

Use the Select and Export method when you want a fast export of the visible records with a specific set of columns. It mirrors what is on screen, gives you checkbox control over fields, lets you name the file, and delivers the result in seconds. It is the everyday export for HR teams who need to send a quick report or pull a filtered subset of records.

Use the Actions > Export method when you need a more comprehensive or structured output — one that goes beyond the basic attendance fields and incorporates employee work context or advanced filtering. This method is better for formal reports that will be shared with finance, leadership, or compliance teams who need more than just the raw attendance data.

Practical Tips

Before exporting, apply a filter to narrow the records to the relevant date range or employee group. The Filter button on the page supports filtering by employee, type, date, and other criteria. Exporting a filtered set keeps the file focused and easier to work with than exporting hundreds of rows across all employees and all dates.

For recurring reports — say a monthly punctuality summary — the Actions > Export method with saved column preferences saves time by providing a consistent output format each time. For ad hoc requests where someone asks for a specific employee’s late arrival records over a given period, the Select and Export method with manual row selection is quicker.
