Accurate attendance management is one of the foundations of smooth HR operations. From payroll to performance analysis, attendance data plays a direct role in several business processes. However, mistakes can happen. For example, you might accidentally regularize attendance for an employee on their weekly off or a non-working holiday.

If such errors are not corrected, they may lead to:

  • Incorrect payroll calculations
  • Wrong overtime or working hour reports
  • Conflicts between employees and HR over attendance discrepancies
  • Compliance issues when reports are submitted

Thankfully, Horilla HRMS provides a simple way to delete any incorrect attendance entries and keep your records clean. Let’s walk through the process step by step.

Step-by-Step Guide to Delete an Incorrect Attendance

1. Navigate to the Attendance Module

On the left-side menu, click on Attendance (1). This will expand the module to show different attendance-related features such as Biometric Devices, Attendance Requests, Hour Account, and more.

From this list, select Attendances (2). This opens the main Attendances page, where you can view and manage employee attendance records.

2. Apply Filters to Locate the Incorrect Record

If your organization has hundreds of employees, scrolling through the list can be overwhelming. This is where the Filter option (3) comes in handy.

  • Click on Filter at the top(Option 3).
  • Enter the Employee Name and the Date of the attendance record you need to delete.

3. Switch to Validated Attendances

By default, the Attendances page usually shows pending or unvalidated attendance records. However, in this case, since the attendance has already been regularized, it will appear under the Validated Attendances tab (4).

Click on Validated Attendances to view all finalized attendance entries. This section stores any attendances that were mistakenly regularized.

  • Apply the filter to instantly narrow down the results.

This ensures you are only looking at the specific entry that needs correction instead of sifting through the entire database.

Click on Validated Attendances to view all finalized attendance entries. This section stores any attendances that were mistakenly regularized.

4. Delete the Incorrect Attendance

Once you’ve found the record, look towards the right-hand side under the Actions column. You will notice a Delete button represented by a trash icon

Click the Delete button for the incorrect attendance entry.

A confirmation prompt will appear.

5. Confirm Deletion

Deleting attendance is an important action since it directly alters employee records. To prevent accidental removals, Horilla will ask you to Confirm before the record is permanently deleted.

Click Confirm, and the attendance entry will be removed from the system.

Why Deleting Wrong Attendance Matters

You may wonder why it’s necessary to go through this process instead of simply ignoring the incorrect entry. Here’s why it matters:

  • Payroll Accuracy – Attendance directly affects salary processing. Wrong entries can cause employees to be paid incorrectly, leading to dissatisfaction.
  • Fairness & Transparency – Employees expect HR to maintain accurate records. Wrong data can damage trust if not corrected.
  • Compliance & Auditing – Many organizations must maintain attendance records for audits or compliance. Inaccuracies can cause serious issues.
  • Productivity Reports – Managers rely on attendance insights to understand workforce productivity. Wrong data can distort performance analysis.
  • By correcting errors quickly, you safeguard both your organization’s efficiency and employee trust.

Example Scenario

Imagine this situation:

An employee, Ellie Rogers, had a weekly day off on Saturday, 23rd August 2025.

By mistake, HR regularized her attendance for that date.

Now, when payroll is processed, Ellie will be marked as present, which inflates her working hours.

To fix this, you would:

  1. Navigate to Attendance → Attendances.
  2. Apply filters for Ellie Rogers and 23/08/2025.
  3. Go to the Validated Attendances tab.
  4. Delete the incorrect record.
  5. Within minutes, the mistake is gone, and the system reflects the actual status — Day Off.

Best Practices to Avoid Attendance Errors

While Horilla makes it easy to delete incorrect entries, prevention is always better. Here are a few best practices:

  • Double-check before regularizing: Always confirm the day type (working day vs. off day) before finalizing attendance.
  • Use filters proactively: Regularly filter by non-working days or holidays to spot any accidental entries.
  • Set validation rules: If possible, configure Horilla to prevent regularization on predefined weekly offs.
  • Audit attendance regularly: Conducting monthly or weekly reviews can help HR teams spot attendance anomalies early.

Conclusion

Accurate attendance management ensures smooth payroll, compliance, and employee satisfaction. Mistakes like regularizing attendance on non-working days can happen, but with Horilla HRMS, fixing them is quick and simple.

By following the steps outlined above—navigating, filtering, switching tabs, deleting, and confirming—you can ensure your records remain clean and reliable.

Maintaining accurate records is not just about fixing errors; it’s about building trust and ensuring fairness in your workplace.
