Recruitment is the backbone of any organization’s growth. Finding the right talent, managing candidate data, and ensuring a smooth hiring process are critical to building a strong team.

However, handling these tasks manually can be labor-intensive, prone to mistakes, and ineffective. This is where Horilla HRMS comes in—a powerful platform designed to simplify and streamline recruitment workflows.

Horilla empowers recruiters and HR professionals to create, manage, and track candidates seamlessly. Whether you’re hiring for a single role or managing multiple recruitment drives, Horilla’s intuitive interface and robust features make it easier than ever to stay organized and efficient.

In this blog, we’ll take a deep dive into one of the core functionalities of Horilla: creating a candidate.

By the end of this guide, you’ll have a clear understanding of how to add candidates to the platform, ensuring your recruitment process is smooth, organized, and effective.

Step 1: Access the Recruitment Module

To begin, log in to your Horilla account and navigate to the Recruitment Module (Marked 1). Under this module, you’ll find the Candidates section (Marked 2). Click on it to open the candidates directory section.

Step 2: Click on “Create”

Once you’re in the Candidates section, look at the top right corner of the screen. You’ll see a button labeled Create (Marked 3 in the image above). Click on it to start the process of adding a new candidate.

Step 3: Fill in Candidate Details

Now, you’ll be taken to the candidate creation form. Here’s how to fill it out:

Name: Enter the candidate’s full name. For example, let’s use Jerry.

Email: Provide the candidate’s email address. For instance, you can enter jerry@gmail.com.

Mobile Number: Add the candidate’s contact number.

Portfolio Link: If the candidate has a portfolio or personal website, you can include the link here.

Recruitment Drive: Select the recruitment drive for which the candidate has applied.

Job Position: Specify the role the candidate is applying for. For example, Django Developer.

Date of Birth: Choose the candidate’s date of birth. For instance, let’s select June 16, 2000.

Gender: Select the candidate’s gender.

Source: Source of the candidate

Address: Fill in the candidate’s address details, including country, state, and ZIP code.

Referral: Referred employee select option.

Step 4: Upload Resume and Photo

One of the most important steps is uploading the candidate’s resume and photo:

Resume: Click on the file upload button and select the candidate’s resume from your system.

Photo: Similarly, upload a professional photo of the candidate.

Step 5: Enable Candidate Status

To make the candidate active, ensure you enable the Active toggle. If the candidate was previously marked as canceled using the candidate update option, you can reactivate them by enabling this option.

Step 6: Save the Candidate

Once all the required fields are filled out, click Save. If any mandatory fields are missed, Horilla HRMS will prompt you to complete them before saving. After saving, you’ll see the newly created candidate listed in the Candidates section and in the corresponding recruitment pipeline.

Tips for Success

  • Double-Check Required Fields: Ensure all mandatory fields are filled out to avoid errors during the creation process.
  • Keep Files Ready: Have the candidate’s resume and photo ready before starting the process to save time.
  • Use Accurate Information: Provide correct and up-to-date details to maintain a reliable candidate database.
