How to Create an Announcement in Horilla HR Software

The Announcement section in HR software serves as a centralized hub for delivering key messages and updates across the organization. It enables HR teams and management to communicate important information, such as policy changes, event reminders, employee recognitions, and urgent notices, in a streamlined and efficient manner. By consolidating all communications within one system, the Announcement section helps ensure that every employee, regardless of their department or location, stays informed and aligned with the company’s goals and developments.

This can be easily handled by the Horilla HR software. Let’s check how Horilla handles the announcement section. When an employee logs in to the Horilla software, initially goes to the Dashboard menu marked as 1 in the picture. This is an admin side view that’s why it shows more data, such as some requests to approve graphs like that. If a normal employee he/she won’t be able to see all the graphs without permission.

On the right hand side, we can see a section named Announcements, which shows all the announcements as a list view. The new tag will be automatically removed after viewing the announcement. By clicking the ‘ + ‘ button marked as 2, the admin can create an announcement in the software. Employees who have permission to create announcements are also able to see the icon and can create.
The announcement creation form will look like below; let’s go through the form.

- Title: This is where the subject or headline of the announcement is entered. It gives a clear idea of the topic or purpose of the announcement at a glance.
- Description: This field contains the main body of the announcement. It allows for text formatting and styling options like bold, italics, and bullet points, making it easier to convey information in a structured and visually appealing way.
- Attachments: If the announcement needs to include supplementary materials, such as images, GIFs, PDFs, or any other file types, they can be uploaded here. This helps provide additional context or visual support.
- Expire Date: This optional field sets the date when the announcement will automatically expire. If no date is specified, the system will use a default expiration period configured in the settings. The announcement will be removed after this default period, calculated from the creation date.
- Employees: If the announcement is intended for specific employees, they can be selected here. Only the selected employees will have visibility of the announcement, making this field useful for targeting specific individuals without broadcasting to the whole organization.
- Department: This field allows the announcement to be shown only to certain departments. For example, if there’s an update relevant only to the HR or IT department, those departments can be specified here.
- Job Position: Similar to the department field, this allows announcements to be sent to employees in specific job positions. For example, an announcement may be relevant only to managers or team leads, and this field ensures that only those employees see it.
- Disable Comments: By default, employees can comment on announcements to share feedback or ask questions. If this field is enabled, it disables the comment feature for the particular announcement, preventing any responses from employees.
These fields provide flexibility, allowing HR or administrators to tailor announcements based on audience, content, and visibility duration.

By clicking the announcement, its main view will be opened like in the above picture. The eye button marked as 1 in the above picture indicates the employee list who viewed the announcement. The three dots marked as 2 give two options to edit and delete the announcement. In the footer section, the comment icon marked as 3 is to add some comments to the announcement by the employees. At the announcement creation time if we choose any specific Department or Job position one more icon will be displayed near the comment icon, and by hovering that button, the admin can find the department or job positions.
