In this blog, we’ll walk you through how to create a work type request in Horilla, ensuring you can manage your work preferences with ease.

What is a Work Type Request?

A work type request allows employees to request a change in their work type for a specific period. For example, an employee may request to work from home instead of the office for a week or longer. Once the request is submitted, it must be approved by an administrator or manager before the change takes effect. After the requested period ends, the system can automatically update the employee’s work type back to their default work type.

Step-by-Step Guide to Creating a Work Type Request

Let’s dive into the steps to create a work type request in Horilla:

Step 1: Navigate to the Employee Profile

  1. Log in to your Horilla account.
  2. Go to the Profile section under the Employee tab (Marked 1).
  3. Click on Employee Profile to view the employee’s details (marked 2).

Step 2: Access the Work Type and Shift Tab

In the employee profile, you’ll see various tabs such as About, Work Type and Shift, Attendance, Leave, and Payroll, etc.

Click on the Work Type and Shift tab to view the employee’s work type and shift related details (Marked 3).

Step 3: Create a New Work Type Request

Under the Work Type and Shift tab, locate the Work Type Request section.

Click on the Add button (Represented by a “+” icon Marked 4) to create a new request.

Step 4: Fill Out the Work Type Request Form

Employee Name: The employee’s name will be auto-filled.

Requesting Work Type: Select the desired work type. For example, if the employee wants to work from home instead of the office, choose “Work from Home.”

Requested Start Date: Enter the date when the requested work type should begin.

Requested End Date: Specify the date when the requested work type should end. If the request for a permanent is enabled, you can skip this step.

Description: Add a brief description explaining the reason for the request. For example, “I would like to request remote work due to personal obligations..”

Permanent Request: If the employee is requesting a permanent change, toggle the Permanent Request option.

Step 5: Save the Request

Once all the details are filled out, click Save to submit the request.

The request will now appear in the Work Type Request section, awaiting approval from an administrator or manager.

What Happens After Submitting the Request?

Approval Process: The request will be reviewed by an administrator or manager. If approved, the employee’s work type will be updated on the requested start date.

Automatic Updates: If the request is for a specific period, the system will automatically revert the employee’s work type to their default setting once the period ends.

Permanent Requests: For permanent requests, the employee’s work type will be updated indefinitely unless another request is submitted to change it back.

Tips for Employees

Plan Ahead: Submit your work type request well in advance to allow sufficient time for approval.

Provide Clear Details: Include a clear and concise description to help your manager understand the reason for your request.

Check Policies: Ensure your request aligns with your company’s work type policies and guidelines.

Conclusion

Creating a work type request in Horilla is a straightforward process that empowers employees to manage their work preferences effectively. Whether you’re requesting a temporary change or a permanent adjustment, the system ensures a smooth and transparent process. By following the steps outlined in this guide, you can easily submit your request and continue working in a way that suits your needs.
