Effective email communication is a key aspect of business operations, and having a professional and personalized approach can make a significant difference in engagement and response rates. Horilla, a robust HRMS, offers a Dynamic Display Name option that allows businesses to customize how emails appear to recipients. This feature ensures that emails sent through Horilla HRMS’s system reflect either a predefined name or dynamically adapt based on the sender’s details. By utilizing this capability, businesses can create a more humanized and recognizable email experience, leading to better communication and trust among employees and candidates.

What is the ‘Dynamic Display Name’ Option?

Horilla HRMS allows administrators to configure the Display Name used in outgoing emails. The Dynamic Display Name feature determines whether emails sent through the system should use the default display name provided in the configuration or dynamically adjust based on the sender’s (Email triggered person’s) details.

How It Works

When Enabled: If this option is activated, Horilla automatically sets the sender’s full name as the display name. Emails will appear as Full Name <email.address>, making them more personalized and recognizable to recipients (Marked as 1).

When Disabled: If the Dynamic Display Name option is turned off, Horilla will use the default Display Name configured in the email settings. This means that all emails will be sent using the same name, regardless of the sender (Marked as 2).

Benefits of Enabling Dynamic Display Name

  • Enhanced Personalization: Emails sent to employees or recruitment candidates will show the sender’s actual name, creating a more personalized experience.
  • Improved Trust and Recognition: Recipients are more likely to recognize and engage with emails from known names rather than a generic company name.
  • Better Communication Management: In multi-user environments, it helps differentiate senders without relying on a single, static display name.
  • Seamless Integration: Works automatically without requiring manual intervention for each email.
  • Consistency Across Communications: Ensures that emails sent from different departments or team members maintain a professional yet personalized branding approach.
  • Stronger Internal & Candidate Communication: When interacting with employees or recruitment candidates, having a dynamic sender name makes communication feel more direct and personal, improving engagement.
