How to Assign Tasks in Onboarding Process Using Horilla HRMS Onboarding Software

Onboarding is a critical process for both organizations and new hires. It goes beyond just completing paperwork and providing basic training. An effective onboarding process has a profound impact on employee engagement, productivity, and retention. Therefore, companies need to have a well-structured onboarding process after recruitment.
Different companies may have various tasks associated with each stage of onboarding, and managing these tasks efficiently is crucial for the smooth operation of the organization.
In this blog, we’ll walk you through how to assign tasks in the onboarding process using a user-friendly onboarding module in Horilla.
Step 1: Access the Onboarding Module
To begin, navigate to the Onboarding Module in your system. Under Onboarding submenu (Marked 1), you’ll find options like Onboarding View and Candidates. Click on Onboarding View (Marked 2) to proceed.

Step 2: View Recruitment and Onboarding Stages
Once you’re in the Onboarding New section, you’ll see a list of ongoing recruitments in the company. For example, you might see recruitments like Recruitment Drive and Future Recruitment that you created previously in the recruitment module of Horilla. Under each recruitment, there are different onboarding stages that candidates must go through once they are selected.

For instance, you might see stages like Initial and Orientation, etc. These stages are designed to ensure a structured onboarding process for new hires.
Step 3: Add a New Onboarding Stage
If you want to add a new stage to the onboarding process, simply click on the Stage Button (Marked 3 in the first image). You’ll need to provide a Stage Title. Additionally, you’ll need to assign a Stage Manager to oversee this stage.

If this stage is the final step in the onboarding process, you can mark it as the Final Stage by toggling the target input. Once you’ve filled in the details and submit the form, the new stage will be added to the onboarding process.
Step 4: Assign Tasks to Onboarding Stages

Within each onboarding stage, you’ll see a list of candidates along with their details, such as:
- Candidate Name
- Job Position
- Mobile Number
- Joining Date
- Portal Status
- Task Status
- Current Stage
- Options
- Task
To assign a task, click on the Task Button within the desired stage (Marked 4). You’ll need to provide:
Task Title: For example, Asset Allocation.
Task Manager: Assign a manager responsible for overseeing the task.
Candidates: The system will automatically populate the candidates currently in that stage. If you don’t want to assign the task to a specific candidate, you can remove them from the list.
Once you’ve filled in the details, click Apply to create the task.
Step 5: Manage Task Progress

After assigning a task, you can track its progress by updating the Task Status. The status options include:
- To Do
- Scheduled
- Ongoing
- Done
For example, if a candidate completes their Asset Allocation task, you can change the status to Done. The system will then reflect the updated task status, making it easy to monitor progress.
Step 6: Reassign Tasks if Needed

If a task hasn’t been assigned to a candidate, you can easily assign it later by clicking on the Assign button. This ensures that no candidate is left out of the onboarding process.
