Managing large volumes of records individually is one of the most time-consuming tasks in any CRM. Horilla CRM addresses this directly with a built-in bulk action system on every list view. Whether you are handling leads, contacts, accounts, or any other module, bulk actions let you select multiple records and apply operations across all of them simultaneously. This guide explains how Bulk Export, Bulk Update, and Bulk Delete work from the user’s perspective.

Selecting Records from the List

Before any bulk action can run, you need to tell Horilla CRM which records to act on. Every list view in Horilla CRM displays a checkbox on the left side of each row.

To select records:

  • Tick the checkbox beside each record you want to include
  • Click Select All at the top of the list to mark every record on the current page at once
  • Click Unselect All to clear your entire selection instantly

As soon as at least one record is checked, the bulk action toolbar becomes active, and the Export, Update, and Delete buttons are ready to use. Your selection is remembered in the browser as you scroll or load more records, so you will not lose your choices while navigating through a long list.

Bulk Export — Downloading Selected Records

Bulk Export lets you download only the records you have selected, rather than exporting the entire list. This is useful when you need to share a filtered segment with a colleague or prepare a report for a specific set of accounts or leads.

To export selected records:

  1. Select the records you want using the checkboxes
  2. Click the Export button in the bulk action toolbar
  1. Choose your preferred file format — CSV, Excel, or PDF and fields.
  1. The file downloads immediately to your device.

The export includes only the columns configured for that list view. Fields marked as internal or sensitive by your administrator are excluded automatically.

Bulk Update — Changing Fields Across Multiple Records

Bulk Update opens a form that applies new values to one or more fields across every selected record in a single action. This is particularly useful for reassigning ownership, updating statuses, or correcting a field that was incorrectly set on a batch of records.

To run a bulk update:

  1. Select the records you want to update using the checkboxes
  2. Click the Update button in the bulk action toolbar
  1. A modal form opens, showing only the fields eligible for bulk editing.
  1. Enter the new value in each field you want to change — leave others blank to keep them as-is.
  1. Click Update to apply the changes.

The fields visible in the bulk update form depend on your role and permissions. If your access level does not permit editing a particular field, it will not appear in the form. After the update completes, the list refreshes immediately,y and a success message confirms how many records were updated.

Bulk Delete — Removing Records with Safety Checks

Bulk Delete in Horilla CRM is a carefully guided process, not an instant removal. Because deleting records can affect related data across the system, the process walks you through several steps before anything is permanently removed.

Step 1 — Choose a Delete Mode

After clicking the Delete button, a dialog asks you to choose between two modes:

  • Soft Delete — moves the selected records to the Recycle Bin, where they can be restored later
  • Hard Delete — permanently removes the records from the database with no recovery option

Step 2 — Dependency Check

Horilla CRM automatically scans each selected record for related data before proceeding. The system then presents two groups:

  • Can be deleted — records with no linked data, safe to remove immediately
  • Cannot be deleted immediately — records that have related activities, notes, or linked entries attached to them, shown with a summary of what is connected

Step 3 — Resolve Dependencies

For records that have dependencies, you decide how to proceed on a per-record basis:

  • Delete the dependencies first, and then remove the record
  • Skip the record and proceed only with the clean ones

This step ensures you never accidentally orphan related data or lose something you intended to keep.

Step 4 — Confirm and Complete

Once you confirm, the deletion runs across all eligible records. The list refreshes immediately,y and a message confirms how many records were removed.
