What Are Assignment Rules?
Assignment Rules are automation rules that automatically assign leads to users or roles when specific conditions are met.
When a lead is created or updated, Horilla CRM evaluates active assignment rules and determines who should own the lead based on criteria such as:
- Lead Source
- Industry
- Country
- Revenue
- Number of Employees
- Custom Lead Fields
- Any other available lead information
Once a matching condition is found, Horilla CRM automatically assigns the lead to the most suitable user and can optionally send notifications to the assigned representative.

Navigating to Assignment Rules
To access Assignment Rules:
- Click the Settings icon.
- Scroll to the Lead Configuration section.
- Select Assignment Rules.
The Assignment Rules page displays all existing rules along with their status and configuration details.

Creating a New Assignment Rule
Click New to create a rule.

Provide the following information:
- Name: Enter a meaningful name that clearly describes the purpose of the rule.
- Description: Optionally add a description explaining how the rule works.
Click Save to create the assignment rule.
Once saved, the rule becomes available for adding conditions.
Adding Assignment Conditions
After creating a rule, open its detail page.

Click Add Condition.
Conditions determine:
- Which leads qualify
- Who should receive those leads
- Whether notifications should be sent
Configure the Assignment Target
Horilla CRM allows assignment to either specific users or roles.

Assigned To
- User: Select one or more users. Leads will be assigned to the selected users based on workload balancing.
- Role: Select one or more roles. Leads will be assigned to eligible users belonging to the selected roles based on workload balancing.
Notification Type
- Email: Sends an email notification to the assigned representative.
- Notification: Sends an in-app notification to the assigned representative.
- Both: Sends both email and in-app notifications.
- None: No notification is sent after assignment.
Mail Template: Select the email template used for assignment emails.
Notification Template: Select the template used for in-app assignment notifications.
After configuring the assignment settings, click Save to create the rule.
Once saved, the rule detail page displays the complete configuration, including:
- Assignment conditions.
- Assignment target (User or Role).
- Selected users or roles.
- Notification method.
- Email or notification templates.
- Additional rule conditions.
Administrators can also:
- Add new conditions using the Add Condition button.
- Modify the rule using the Edit Rule.
- Edit or remove individual conditions as needed.

How Assignment Rules Work

- Active assignment rules are evaluated.
- Conditions are checked in their configured order.

- The first matching condition is selected.

- The user with the fewest active leads is chosen.

- Notifications are sent if configured.
If no active rule matches, the lead remains unassigned.
