Coordinating interviews across multiple candidates, interviewers, and time slots can quickly become a scheduling headache if you’re relying on emails and spreadsheets. Horilla HRMS simplifies this with a dedicated Interview feature inside the Recruitment module, letting recruiters schedule, track, and manage candidate interviews from one central screen.

Here’s how the process works.

Navigating to the Interview Section

From the left sidebar, open the Recruitment module to reveal its menu, which includes Dashboard, Recruitment Pipeline, Recruitment Survey, Candidates, Interview, Recruitment, Open Jobs, Stages, and Skill Zone. Selecting Interview takes you to the Scheduled Interviews page.

This page displays all interviews in a structured table with columns for Candidate, Interviewer, Interview Date, Interview Time, Description, and Status. Each row represents one scheduled interview, and a Select option above the table lets you select multiple records at once for bulk actions.

Reviewing Existing Interviews

Before scheduling a new interview, the Scheduled Interviews table gives a quick overview of what’s already on the calendar. For example, a candidate might have one interviewer assigned with a date and time set, while another candidate might have two interviewers for a more involved technical round. Each entry also shows a brief description, such as “Final interview round” or “Technical round interview,” along with a status indicator like “Upcoming Interview” that uses a clock icon to flag it as scheduled but not yet completed.

The Actions column on each row provides quick access to edit or delete an interview entry without needing to open a separate page.

Scheduling a New Interview

To schedule an interview, click Create in the top right corner of the Scheduled Interviews page. This opens the Schedule Interview form as a modal window with the following fields:

  • Candidate is a required dropdown where you select the candidate being interviewed from your existing candidate pool.
  • Interviewer is a required field where you assign one or more interviewers. Selected interviewers appear as removable tags within the field, making it easy to add multiple people for panel interviews or remove someone if plans change.
  • Interview Date is a required date picker for setting when the interview will take place.
  • Interview time lets you specify the exact time slot, displayed in a clear AM/PM format for easy reading.
  • Description is an optional text field where you can add context about the interview, such as which round it is or what topics will be covered.
  • Is Interview Completed is a toggle switch that stays off by default when scheduling a new interview, and can be switched on later once the interview has taken place.

Once all the required fields are filled in, clicking Save adds the interview to the Scheduled Interviews list, where it will appear with an “Upcoming Interview” status.

Managing Interviews After Scheduling

Once interviews are scheduled, the Scheduled Interviews page becomes your tracking hub. You can edit any interview to update the date, time, interviewer, or description if circumstances change, such as rescheduling due to the interviewer’s availability. The same edit form also allows you to mark an interview as completed using the toggle switch, which helps keep your recruitment pipeline status accurate as candidates move through different rounds.

For interviews that are no longer needed, such as those tied to a withdrawn candidate, the delete action removes them from the list entirely.

Why This Matters for Recruitment Workflows

Having a centralized, structured view of all scheduled interviews reduces the back-and-forth typically involved in recruitment coordination. Recruiters can see at a glance who is interviewing whom, when, and whether multiple interviewers are involved, without digging through email threads. The ability to assign multiple interviewers per candidate also makes it straightforward to set up panel interviews for more senior or technical roles.

Scheduling Interviews Directly from the Recruitment Pipeline

Beyond the dedicated Interview page, Horilla also lets you schedule interviews directly from the Recruitment Pipeline view, which can be faster when you’re already reviewing candidates stage by stage.

To get there, open Recruitment from the sidebar and select Recruitment Pipeline.

This brings up the Pipeline screen, organized by job posting (such as FutureForce Recruitment or Recruitment Drive) and broken down further into stages like Applied and Hired. Each candidate appears as a row under their current stage, showing their name, email, and stage status, along with a row of quick-action icons under Actions.

Among these action icons is a clock icon, which opens the interview scheduling option for that specific candidate without needing to navigate away from the pipeline.

Clicking it brings up the same Schedule Interview form covered earlier, pre-linked to the candidate you’re viewing, so you can assign an interviewer, set the date and time, and add a description right from where you’re already tracking their progress.

This shortcut is especially useful when moving candidates through stages in bulk, since you can review a candidate’s status and schedule their next interview round on the same screen, rather than switching back and forth between the Pipeline and Interview pages.
