Salesforce Data Export Service is a built-in tool that allows users to export their CRM data for backup, analysis, or migration purposes. This feature provides both manual (on-demand) and scheduled exports, ensuring that businesses can maintain secure copies of their data.

In this blog, we’ll explore how to use the Salesforce Data Export Service, its benefits, and best practices for data management.

What is Salesforce Data Export Service?

The Data Export Service is a native feature in Salesforce that enables users to extract data in CSV format. It is available in Salesforce Enterprise, Performance, Unlimited, and Developer editions. Users can either:

  • Manually export data anytime using the “Export Now” option.
  • Schedule automatic exports (weekly or monthly) to create regular backups.

This method is ideal for companies that need periodic backups or want to migrate Salesforce data to another system.

How to Export Data Using Data Export Service

Method 1:Manual Data Export (On-Demand Export)

If you need an immediate export of Salesforce data, follow these steps:

1. Navigate to Setup

  • Click the gear icon in the upper-right corner, then enter “Data Export” in the Quick Find search bar.
  • Click on “Data Export” under the “Data” section.

2. Click “Export Now”

  • Choose “Export Now” to generate an export file immediately.

3. Configure Export Options & Select Objects

Customize your export by selecting the following options:

  • File Encoding: Choose UTF-8, ISO-8859-1, or other formats for compatibility.
  • Include Attachments & Documents: Export images, files, and attachments.
  • Include Salesforce Files & Content Versions: Include stored Salesforce Files and version history.
  • Replace Carriage Returns with Spaces: Prevent formatting issues by replacing line breaks with spaces.
  • Select Objects: Choose specific objects (e.g., Accounts, Contacts, Leads) or export all data.

4. Export Completion & Download

  • Once the export is initiated, you’ll see a message:
Your export has been queued. You will receive an email notification when it is completed.”
  • After the export process completes, Salesforce sends an email with a download link for the ZIP file containing CSV files.
  • You can also access the export link through the Data Export Page.
  • The download link remains available for 48 hours before expiration.

Method 2: Scheduled Data Export

To automate backups, you can schedule weekly or monthly exports:

1. Go to Data Export Service in Setup

  • Click “Schedule Export”

2. Configure Export Options & Frequency

  • Frequency: Choose how often the export runs:
  1. Monthly: Set a specific day (e.g., 1st of every month).
  2. Weekly: Choose a specific weekday (e.g., 1st Sunday of the month).
  3. Start & End Dates: Define the export duration (e.g., Start: 07/02/2025, End: 07/03/2025).
  4. Preferred Start Time: Optionally set a specific time for export processing.
  • Select Objects: Choose the data you want to include in the export.

3. Save & Export

  • Click “Save” to finalize the schedule.
  • Once the export runs, an email notification is sent with a download link to retrieve the files.

Advantages of Using Salesforce Data Export Service

  • No Additional Cost: This feature is included with Salesforce without extra charges.
  • Simple & User-Friendly: Requires no technical expertise or third-party tools.
  • Automated Scheduling: Reduces manual effort and ensures regular data backups.
  • Supports Large Data Volumes: Handles thousands to millions of records efficiently.
  • Secure: Salesforce provides encrypted exports to protect sensitive information.

Limitations of Data Export Service

  •  Limited Frequency: Weekly or monthly exports may not be suitable for real-time data needs.
  • No Custom Filtering: You cannot apply filters within the Data Export Service.
  • 48-Hour Download Window: The download link expires after two days.
  • No Incremental Exports: Full data is exported each time instead of just modified records.

For more frequent or customized exports, consider Data Loader or Salesforce APIs.

Best Practices for Using Data Export Service

  • Schedule Exports for Off-Peak Hours: To avoid performance impact on Salesforce operations.
  • Store Backups Securely: Use cloud storage or an encrypted server to protect exported data.
  • Regularly Monitor Export Logs: Ensure that exports are running as scheduled.
  • Combine with Other Tools: Use Data Loader or API integrations for real-time data extraction.
  • Set Reminders for Downloading Exports: Since download links expire in 48 hours.

Conclusion

The Salesforce Data Export Service is a powerful and convenient way to back up CRM data. Whether you need a one-time export or automated weekly/monthly backups, this feature ensures that your critical business data remains safe. However, for real-time exports or advanced filtering, consider alternatives like Data Loader or API-based solutions.
