What are Big Deal Alerts?

Big Deal Alerts are automated notifications that trigger when an opportunity in your CRM meets predetermined conditions. These alerts help sales teams and management stay informed about high-value deals, enabling faster response times and better resource allocation.

Accessing Big Deal Alerts

To access Big Deal Alerts in Horilla CRM, navigate through the following path:

  1. Open the Settings menu from the left-hand sidebar.
  2. Navigate to the Opportunity category and expand it.
  3. Then choose Big Deal Alerts from the available options.

The main Big Deal Alerts screen provides an overview of all configured alert rules. If no alerts have been created yet, you’ll see a message prompting you to add your first alert.

Creating a Big Deal Alert

Click New in the top-right area to access the alert creation screen, where you can define various configuration settings.

  • Title: Provide a clear and meaningful name for the alert that reflects its purpose. This helps you identify the alert at a glance when managing multiple alerts.
  • Mail to/Notify to: Select the users who should receive the alert. Here, the option selected is “Owner,” indicating that the opportunity’s owner will receive the alert. You can customize this to include other team members or roles.
  • Also Send to: This optional field allows you to specify additional recipients who should be copied on the alert, ensuring broader visibility for important deals.
  • Trigger: This critical field determines when the alert fires. Available options include:
    • On Create: The alert is activated whenever a new opportunity is added.
    • On Update: Alert triggers when an existing opportunity is modified
    • Both Create and Update: Alert triggers in both scenarios
    • On Delete: The alert is activated when an opportunity record is removed.
  • Choose Delivery Channel: Select how recipients should receive the alert:
    • Send as Mail: Delivers the alert via email
    • Send as Notification: Sends an in-app notification
    • Send as Mail and Notification: Uses both channels for maximum visibility
  • Mail Template: When using email delivery, select the pre-configured email template that formats your alert message.
  • Notification Template: When using in-app notifications, choose the appropriate notification template.
  • Outgoing Mail Server: Specify which mail server should be used to send email alerts. This field appears when email delivery is selected.
  • Condition: Specify the exact rules that determine when the alert should be triggered. Each condition includes:
    • Select Field: Choose the opportunity field to evaluate (such as Amount, Stage, Close Date, etc.)
    • Select Operator: Choose the comparison type to apply, such as Greater Than or Equal To, Less Than or Equal To, Equal To, Not Equal To, Contains, or Does Not Contain.
    • Enter Value: Specify the threshold or value to compare against
    • Select Logical Operator: When adding multiple conditions, choose how they should be combined (AND or OR)
    • Click the + Add More button to create complex alert rules with multiple conditions. This allows you to create sophisticated criteria to ensure alerts are highly targeted.

Viewing Configured Alerts

Once saved, alerts appear in the Big Deal Alerts list with a summary view displaying key information:

  • Alert title
  • Trigger condition and threshold
  • Mail template being used
  • Trigger timing (On Create, On Update, etc.)
  • Notification recipients
  • Sender email address
  • Delivery channel

Each alert card includes action icons for editing and deleting the alert configuration.

Managing Alerts

From the Big Deal Alerts list, you can:

View alert details

  • Click on any alert to see its complete configuration.

Edit existing alerts

  • Use the edit icon to modify conditions, recipients, or templates

Delete alerts:

  •  Remove alerts that are no longer needed using the delete icon
